BK Publishing (pty) ltd is dedicated to protecting the privacy and confidentiality of Personal Information. BK Publishing (pty) ltd provides a variety of services and products for the publishing industry and the general public. Our books and magazines are sold from our websites, and electronic media is published online. Our services are provided online and in-person.

BK Publishing (pty) ltd is a vibrant publishing house in the heart of Pretoria. Our entrepreneurial spirit has manifested itself in the great variety of projects, imprints and services we provide. To fulfil our vision of fostering a book loving and book buying culture, we have created Supernova, the magazine for curious kids. With Supernova and other products for reluctant readers, we make children aware of issues which affect them, their community and their environment. With over 16 years of publishing experience, our indie imprint, Preflight Books, helps aspiring self-publishers bring their manuscripts to life and provides professional book production services to local and international publishers, and corporate clients.
3. How do we collect personal information and what information do we collect
We collect information provided directly from you when opening an account or profile on one of the BK Publishing (pty) ltd websites, social media, via email or walk-in, when submitting an order, query or request, or when joining one of the BK Publishing (pty) ltd emailers or clubs.
Information we collect when opening an account
Personal information
Personal information is information that identifies you as an individual or relates to an identifiable individual. When dealing with BK Publishing (pty) ltd, we may require any of the following Personal Information to conduct business with you:

If you submit any Personal Information on behalf of other people, you must have a lawful ground to do so, in accordance with the Protection of Personal Information Act.
Log Files
When you visit any of the BK Publishing (pty) ltd websites, even if you do not register your customer information, our website host may collect information, such as your IP address, the name of your ISP (Internet Service Provider), your browser, the website from which you visit us, the pages on our website that you visit and in what sequence, the date and length of your visit, and other information concerning your computer’s operating system, language settings, and broad demographic information. This information is aggregated and anonymous data, and does not identify you specifically. However, you acknowledge that this data may be used to identify you if it is aggregated with other Personal Information that you supply to us. This information is not shared with third-parties and is used only within BK Publishing (pty) ltd on a need-to-know basis. Any individually identifiable information related to this data will never be used in any way different to that stated above, without your explicit permission.
Cookies
BK Publishing (pty) ltd websites use cookies. A cookie is a small piece of information stored on your computer or smart phone by the web browser. The two types of cookies used on our websites as described below:
“Session cookies”: These are used to maintain a so-called ‘session state’ and only lasts for the duration of your use on our websites. A session cookie expires when you close your browser, or if you have not visited the server for a certain period of time. Session cookies are required for the Platform to function optimally, but are not used in any way to identify you personally.
“Permanent cookies”: These cookies permanently store a unique code on your computer or smart device hard drive in order to identify you as an individual user. No Personal Information is stored in permanent cookies. You can view permanent cookies by looking in the cookies directory of your browser installation. These permanent cookies are not required for the BK Publishing (pty) ltd websites to work, but may enhance your browsing experience.

If you correspond with us via email or other forms of communication, we may retain such correspondence and the information contained in it, and use it to respond to your enquiry or to keep a record of your enquiry.

4. When will we process your Personal Information

5. How we use your information
Services and products
We use the information we have about you (e.g. the information you provide, the information we collect from your engagement with our services and inferences we make from the information we have about you), to recommend relevant content and conversations on our services or suggest products you could add to your portfolio. We use the information you provide to fulfil the delivery of services or products which you have engaged us to fulfil.
Communications
We will contact you, as well as enable communication between yourself and our service department. We will contact you through email, telephone, mobile phone, in-app notifications, notices posted on social media, and any other way through our services to you.
Customer Support
We use your information to assist you and solve your problems. We use the information (which can include your communications) to investigate, respond to and resolve complaints and service issues.
Aggregate Insights
We use the information to generate aggregate insights. We use your information to produce and share aggregated insights that do not identify you. For example, we may use your information to generate statistics about our members, their profession or industry, to calculate ad impressions served or clicked on, or to publish user demographics for a service or product insights.
Protection of your intellectual property
We will not disclose your sensitive information, such as an author’s manuscript (as signed per the confidentiality agreement provided to you) to third-parties that are not involved with the production of your manuscript. Except with your specific consent or in the circumstances permitted by law.
Unsolicited electronic manuscripts submitted to BK Publishing (pty) ltd will be kept on file for record purposes only. Unsolicited physical manuscripts are not the responsibility of BK Publishing (pty) ltd and may be kept on site or destroyed, and will not be returned or covered by this Privacy Policy.
6. How we share your information
Related Services
BK Publishing (pty) ltd is the holding company for a number of subsidiaries and we share your information across our different internal entities. We share your personal information internally between our entities to provide and develop our services. We may combine information internally across the different services/products to help our services be more relevant and useful to you and others.
Service Providers and Contracted Third-Parties
BK Publishing (pty) ltd uses third-party service providers to fulfil the services and deliverables for which you have engaged us. Limited information will be shared with courier companies and contractors for the purpose of fulfilling orders. Though we strive to ensure that your information is secure, these third-parties are bound by their own internal Personal Information policies. They will only process your Personal Information on our specific instructions, and they are subject to a duty of confidentiality.
Legal Disclosures
We may need to share your information when we believe it is required by law, legal process, or to help protect the rights and safety of yourself, us or others. We attempt to notify members about legal demands for their Personal Information when appropriate in our judgment unless prohibited by law or court order or when the request is an emergency. We may dispute such demands when we believe, in our discretion, that the requests are over-broad, vague, or lack proper authority, but we do not promise to challenge every demand.
7. Your rights and obligations
Information Retention
We keep your Personal Information while you are a BK Publishing (pty) ltd customer, and need to provide you with services or sales. We will process your information while your relationship with us is active and while you keep on making use of our services. This includes any information you have provided to us.
Even if you are only active every few years, we will retain your information and keep your Personal Information on file until you decide to stop using our services. We will also keep your information where you have agreed for us to do so, or have given your consent that we are allowed to do so.
In some instances, we choose to retain certain information about you after you have discontinued our services. We will continue doing so in a depersonalised form for statistical, historical or research purposes.

Request access to your information
You will be able to ask us what information we have about you as well as ask for a copy of this information. This should be done on request to mail@bkpublishing.co.za. There are some exemptions, which means you may not always receive all the information we process. When we can give you a copy, (this might be done at a certain fee), which will also be communicated to you at the time of your query. For security reasons, you may need to identify yourself before such information is shared with you.
Change or correct information
You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Delete information
You can ask us to delete or remove personal information under certain circumstances.
Object to processing
You can do this where we rely on your legitimate interest, public interest or our legitimate interest (or those of a third-party) and there is something about your particular situation that makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes or where you have given your consent for the specific processing, and you want to retract your consent. Retracting your consent does not invalidate your information we lawfully processed while we had your consent to do so.
Request the restriction of processing
You can ask us to suspend the processing of personal information about you, for example, if you want us to establish its accuracy or the reason for processing it.

8. Changes to our Privacy Notice
Changes to the Privacy Notice apply to your use of our services after the “Effective date”. BK Publishing (pty) ltd can modify this Privacy Notice. When material changes are made, we will provide notice through our services, or publish it on our website or newsletters, to provide you with the opportunity to review the changes before they become effective.
You acknowledge that your continued use of our services after we publish our changes to this Privacy Notice, means that the collection, use and sharing of your Personal Information is subject to the updated Privacy Notice.
9. Other important information
Security
We have implemented appropriate security measures to prevent your Personal Information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your Personal Information to those employees, agents, contractors and other third parties who have a business need-to-know. They will only process your Personal Information on our specific instructions, and they are subject to a duty of confidentiality.
